What data we process

We only process personal data that you provide to us directly, or that is required to handle your request or deliver our services.

Contact form. When you fill in the contact form on our website, we process:

  • Name
  • Email address
  • Phone/WhatsApp number (if provided)
  • The type of project you’re interested in (if selected)
  • The content of your message

Requesting information. If you only leave your email address to receive information, we process only that email address.

Client and project communication. If you become a client, we also process contact and billing details needed to perform the agreement, such as company name, role, address and payment details.

We do not collect special categories of personal data (such as health, religion or political affiliation), and our forms are not directed at minors.

Why we use this data

We use your personal data only for the following purposes:

  • Responding to your question or request submitted through the contact form
  • Sending you the information you requested
  • Preparing quotes and performing agreements with clients
  • Maintaining the client relationship, including invoicing and project communication
  • Complying with legal obligations, such as our fiscal record-keeping duty

We do not use your data for automated decision-making and we do not sell personal data to third parties.

We process personal data on the basis of the following legal grounds under the GDPR:

  • Performance of a contract: for client and project data needed to quote and perform an assignment.
  • Consent: when you fill in the contact form or leave your email address to receive information. You can withdraw this consent at any time.
  • Legal obligation: for data we are required to keep under fiscal record-keeping rules.
  • Legitimate interest: for maintaining our business relationship with clients.

How long we keep your data

We do not keep personal data longer than necessary for the purpose it was collected for:

  • Contact form submissions that do not result in an assignment: a maximum of 12 months after the last contact.
  • Client and billing data: for the statutory fiscal retention period of 7 years.
  • Email addresses for information requests: until you unsubscribe or the address is removed due to inactivity.

Sharing with third parties

We only share personal data with third parties when necessary for the purposes above, or when legally required to do so. Messages sent through the contact form arrive directly in our own mailbox; we do not use a separate third-party form platform for this. We do use external parties acting as processors for the following tasks:

  • CloudCannon, for hosting and the content management system of this website
  • Our bookkeeper/accounting office, for processing invoice and payment data

We have a data processing agreement in place with every processor that handles personal data on our behalf, in line with GDPR requirements. We never sell or rent your data to third parties for commercial purposes.

Cookies

This website only uses functional cookies that are necessary for it to work, such as remembering technical settings and protecting the contact form against spam. We do not use analytics, tracking or marketing cookies, and we do not place third-party advertising cookies. Because we only use functional cookies, no prior consent is required for placing them.

Security

We take appropriate technical and organisational measures to protect your personal data against loss or unlawful use, including encrypted connections (TLS/SSL) and restricted access to systems that process personal data. If you suspect misuse of your data, please contact us immediately.

Your rights

Under the GDPR you have the following rights regarding your personal data:

  • Access: you can ask which data we process about you.
  • Rectification: you can have inaccurate or incomplete data corrected.
  • Erasure: you can ask us to delete your data, unless we have a legal obligation to retain it.
  • Restriction: you can ask us to temporarily limit the processing of your data.
  • Objection: you can object to the processing of your data.
  • Data portability: you can ask us to transfer your data, in a structured, commonly used format, to you or another party.
  • Withdrawing consent: where processing is based on consent, you can withdraw it at any time.

To exercise any of these rights, email verkoop@phantavision.com. We will respond within four weeks. If you are not satisfied with how we handle your request or complaint, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) via autoriteitpersoonsgegevens.nl, or with your local data protection authority.
